For most companies between 10 and 500 employees HubSpot is the logical choice — but not the only one. Below we compare it honestly with the four alternatives that come up most often, including the situations where another system simply fits better.
We work with HubSpot and with its alternatives in client projects. That doesn't make us fully objective, but it does make us practical: the trade-offs below come from projects where we've seen both sides.
HubSpot vs Salesforce
The classic.
| HubSpot | Salesforce | |
|---|---|---|
| Learning curve | Low; users productive in days | Steep; requires training and admins |
| Marketing | Built in, on the same database | Separate, expensive Marketing Cloud licence |
| Customisation | Good to very good, with limits | Practically unlimited |
| Ecosystem | 2,000+ apps, 2.5M installs | AppExchange, considerably deeper |
| Indicative TCO 50 users, 3 years | approx. $177,000 | approx. $595,000 |
| Best for | 1–500 employees | 500+ with an in-house admin team |
The core: Salesforce is better at sales and service processes you want to bend entirely to your will. HubSpot is better at lead generation, marketing and time-to-value. Salesforce asks for a team; HubSpot asks for a well-informed marketer.
Choose Salesforce if you operate in a compliance-heavy sector (financial services, pharma, government with special requirements), need field service, or expect your CRM to behave like a bespoke platform.
HubSpot vs Pipedrive
Pipedrive is pipeline-first: visual kanban, activity-driven selling, unlimited contacts and no onboarding fees. For a pure sales team without marketing ambition it's cheaper and faster to set up.
The moment you need marketing automation, a knowledge base or content management, you buy those separately — and the price advantage disappears while your data landscape fragments.
- Choose Pipedrive if: you are and will remain a sales team.
- Choose HubSpot if: marketing and sales have to work in the same system.
HubSpot vs Zoho CRM
Zoho's big asset is cost predictability: no pricing based on contact counts, no mandatory onboarding fees, AI included at a fixed rate per user. The broader Zoho One package is almost absurdly complete for the price.
The flip side: the user experience is less polished, the individual Zoho apps feel like individual apps, and the partner ecosystem in the Benelux is smaller — so help is harder to find when you get stuck.
- Choose Zoho if: budget predictability is your hardest requirement and you'll trade usability for it.
HubSpot vs ActiveCampaign
ActiveCampaign is marketing-first: strong multichannel automation for a fraction of Marketing Hub Professional. For e-commerce and content-driven companies that mainly want to email and automate, it's an excellent choice.
The CRM side is more limited though. As soon as sales works seriously with deals, forecasts and quotes, or service needs to live in the same system, you hit the ceiling.
- Choose ActiveCampaign if: email automation is your centre of gravity and your CRM needs stay light.
HubSpot vs Attio and the new generation
Attio and similar modern CRMs are fast, flexible and appealing to tech companies that want to design their own data model. They're strong on data structure and weak on the complete package: marketing, service and content are assembled through integrations.
- Choose this category if: you have a technical team that likes to build and marketing lives elsewhere.
The honest summary
| Your situation | Strongest choice |
|---|---|
| Marketing and sales must work on one database | HubSpot |
| Pure sales, no marketing | Pipedrive |
| Maximum budget predictability | Zoho |
| Email automation is the centre of gravity | ActiveCampaign |
| 500+ employees, in-house admin team, heavy customisation | Salesforce |
| Technical team building its own data model | Attio-style CRMs |
And sometimes the answer is "not yet". If your process isn't defined, software won't fix it — you'll just automate the chaos faster. Start with the process and a free HubSpot portal as an address book.

Frequently asked questions
Is HubSpot better than Salesforce?
Not better, different. Below roughly 500 employees HubSpot wins on usability, total cost and time-to-value. Above that, with an in-house admin team and heavy customisation needs, Salesforce gets stronger.
What's the best free alternative to HubSpot?
HubSpot's own free plan is the strongest starting point for most small teams: 1,000 contacts, 2 users, email tracking, meeting links and live chat, with no time limit. Zoho offers a comparable free tier with different limits.
Can I move from HubSpot to another system later?
Yes, your data is exportable. What you won't take with you are workflows, reporting history and attribution. Always budget a new implementation track for a switch.
