For most companies between 10 and 500 employees HubSpot is the logical choice — not because it is the most customisable system, but because it offers the best ratio between what you get, how quickly you go live and how many technical people you need.

What exactly is HubSpot?
HubSpot is a customer platform: one coherent system in which every customer-facing team works from the same database. Concretely: someone downloads a whitepaper on your site. In a fragmented stack that person lands in your email tool, someone has to add them to the CRM by hand, your account manager can't see which pages they viewed, and support later has no idea this customer was once a lead.
In HubSpot that's a single contact record with everything attached: the form submission, the pages visited, the emails opened, the deal that came out of it, the invoices and the support tickets. That's the core promise — and the reason it costs more than a standalone email tool.
Just as important is what it is not. HubSpot is not an ERP: inventory, production and accounting aren't in there, so you'll still need your finance system. And it isn't a cheap tool — the free plan is an entry point, not a destination.

Instead of a feature matrix, look at profiles. These are the five we meet in practice, with the advice we'd actually give.
The rule of thumb: below 500 employees HubSpot wins on usability, total cost and time-to-value. Above 500 with a dedicated admin team, the case for Salesforce gets stronger.

How HubSpot is built under the hood
This is the most important chapter if you're implementing HubSpot. Whoever understands the data structure makes better decisions than whoever only knows the buttons.
Everything is an object: contacts, companies, deals, tickets, products, quotes, invoices — plus custom objects for whatever makes your business unique (properties, policies, projects, courses). Custom objects live in Enterprise, and that is often exactly the moment an organisation has to scale up: the business model doesn't fit contact–company–deal.
Every object has properties. The rule experienced admins apply: only create a property if you can name the report or workflow it lands in. A property without a consumer is dead data that erodes your data quality.
- Association labels record what kind of relationship it is — decision maker, budget holder, user, blocker. You can filter, report and automate on them. One of the most underused features in complex B2B sales.
- Lifecycle stages run from Subscriber to Evangelist. Agree from day one who may set a stage: the user, the workflow or the system. One writer per field. Almost every polluted portal we meet started here.
- Workflows are the automation engine and start at Professional. That — not the email templates — is usually the real reason to upgrade from Starter.
- Seats drive your price: core seats for everyone who just looks, specialised sales or service seats for the heavy features. A team of ten where four actually sell pays four sales seats and six core seats. Many companies don't know this and overpay.
What does HubSpot cost in 2026?
HubSpot runs from €0 to €4,300 per month and beyond. List prices at annual billing look like this — month-to-month is higher.
What derails most budgets isn't seats but marketing contacts. Marketing Hub Professional includes 2,000 marketing contacts; above that you pay per block of 5,000. If your database grows past the tier, billing is adjusted automatically — mid-contract too. So only mark contacts as marketing contacts if you genuinely email them.
Also budget for a one-off onboarding fee ($1,500 to $7,000 depending on Hub and tier). In many cases it can be replaced by onboarding through a certified partner — ask explicitly, it isn't offered spontaneously.

Breeze: the AI layer that touches everything
Breeze isn't a separate product but a layer across the platform. Breeze Assistant helps you write, summarise, build reports and even generate custom-code workflow actions from a plain-language description. That lowers the barrier to automation that used to require a developer.
The agents do the real work: the Customer Agent handles service conversations (65% resolved, 39% faster handling across 8,000+ customers) and the Prospecting Agent qualifies leads. Since April 2026 HubSpot charges those per outcome — roughly $0.50 per resolved service conversation and $1 per qualified lead — instead of per use. So you're comparing against salary cost, not licence cost.
One warning from practice: never switch on an AI agent against an empty knowledge base. The quality of your content decides the quality of the agent. And set credit alerts before you turn anything on.
Breeze, AI credits and staying visible in AI searchHubSpot, your website and being found
For content-driven companies HubSpot is more attractive than most alternatives, because your website, blog, forms and CRM live in the same system. Attribution then works without tracking glue: you can see which article produced which deal.
At the same time search is shifting. HubSpot reports that its own customers' organic traffic dropped 27% year over year, and launched an AEO product in 2026 to stay visible in AI search engines. Our advice depends less on tooling: write pages that answer one question completely, put the answer at the top, back it with numbers and sources, and make sure your brand is mentioned consistently.

When HubSpot is not the right choice
We'd rather say this upfront than afterwards. HubSpot doesn't always fit, and a wrong choice costs you an annual contract.
In a compliance-heavy sector (financial services, pharma, government with special requirements), or if you expect your CRM to behave like a bespoke platform and you have a large in-house admin team, Salesforce often remains the stronger choice. A pure sales team with no marketing ambition? Pipedrive is cheaper and faster. Is budget predictability your hardest requirement? Zoho is a genuine alternative.
And sometimes the answer is: not yet. If your process isn't defined, software won't fix it — you'll just automate the chaos faster.

The most important rule: build the structure before you import data. Migrate too early and you'll re-map and re-import after every change to properties or lifecycle stages.
